Choir Outfits/Music Rental/ Student Mailboxes/Travel Policy


OUTFITS/Music Rental

In order to give a more uniform and polished appearance for our performers, each student will be required to wear a designated outfit purchased or rented through the CHORAL BOOSTERS. The choir fee for Artistic, Advances, Women’s A cappella, Men’s A cappella this year is $20, which includes outfit rental, dress bag rental, shoe rental, and CD fees. Choir T-shirts and accessories will be on sale separately this year. See below for Show Choir details. Students are also responsible for the cleaning and care of their outfits through the entire year. All outfits can be washed on gentle cycle. All outfits rented through the boosters are to be returned to the choral room by Monday June 3rd, 2013, 1st semester outfits are due by January 4th.  If a student is unable to provide the resources for an outfit his or her guardian may discuss this in confidence with the choral director.  All STUDENTS WILL HAVE AN OUTFIT FOR PERFORMANCES. Please fill out the attached form and turn it into the choral director with outfit fee by Friday, Feb. 1st. 

Outfit Contract:  When a student is assigned their choir outfits, they are assigned a number for each item.  Every student will fill out an outfit contract, filling out what numbers go with the items they were assigned.  The contracts will be copied. Both copies of the contract will be send home for a parent signature.  One copy will need to be returned to the choir room to be kept in the choral records  The other copy should be kept at home for parental records.

Uniform and Shoe Closet

The Uniform Closet is organized and clean.  Only the Choir director, Uniform Manager, and the Uniform parent are allowed in the closet.  If a student needs to borrow an item from the uniform closet, he or she will need to find one of the above named persons to sign out an item for them.  That student will be responsible for that item until it is returned to the closet.   The shoe boxes need to stay where they are placed in the closet (in order).  All shoes must be signed out by the above persons before they are taken or borrowed.  Only the Choir Director, Uniform Manager, and Uniform Parent are allowed to take shoes out of the Uniform Closet.

UNIFORM MANAGER

One student will be the uniform manager for Advanced, Artistic, Men’s and Women’s A cappella choirs and one for Show Choir.  They are responsible for the organization of outfits.  They are the only students allowed in the uniform closet.  Uniforms that belong to the choir may be stored in the locked uniform closet (Practice Room #2) but must be brought home prior to concert day in order to be pressed and washed for performance.  (Students need to avoid dirty or wrinkled costumes.)  Students will sign a contract for all rented outfits and are responsible for replacing all lost items. THE CHOIR DIRECTOR IS NOT RESPONSIBLE FOR LOST OR STOLEN UNIFORM.  

Uniforms left out in the choir classroom

Students who have uniforms left out in the choir room will lose points on their daily grade.  (including shoes)

***Due to high volume, t-shirts will only be ordered twice a year in September and January.

*Students will need to pay a fee for each choir class taken.

Artistic, Advanced, Beginning, A cappella

Choir Fee: $20

Includes Outfit, Shoe Rental (if needed, girls only), dress bag rental, jewelry, and CD fee

Outfits

*There will be discussion on purchasing a dress for the 2012-2013 school year.

Women- , Black Swing Dress,  Character Shoes (Black) $30, Dress Bag buy $16, any other accessories

Men-Tuxedo-rent,  black dress socks, black dress shoes (must be provided by student, may be purchased through the choir for $45)

Women’s A’cappella/Men’s A’cappella

*There will be discussion on purchasing a dress for the 2012-2013 school year.

T-shirts  w/ nickname  (if needed) , ladies will use black swing dresses and character shoes for certain events

(All Women’s/Men’s A cappella members are required to have a t-shirt.)

Men's- will use tuxedos and black shoes for certain events

Spring Concert-Each year the choir picks a theme and costumes are needed to bring this production to life.  Stay tuned for more information.

Please fill out the outfit form in the Return Form Section and Return it to the Choir Room by Friday, Feb. 1st .

 

Financial Assistance- Students who need financial assistance will need to contact the choral director immediately. All Choral Students are encouraged to help with fundraising to offset costs of choir fees.  A financial plan including payment plan and service hours can be worked out on a case by case basis. 

 

 

 

 

Music and Outfits That are Not Returned

Students who do not return music, folders, outfits, shoes etc. for which they are responsible will be placed on the student debt list and will not receive textbooks for the next year or a diploma until the fines are paid. 

Student Mailboxes

The EVHS Choir is very active and has many great events coming up during this year.  I want to keep you informed of our many activities.  Each student has been assigned a mailbox in the choir room.  The mailbox will be need to be checked at least every two weeks with information, sign up sheets, announcements, and a parent / student signature form with a column for parent comments and questions.  Please ask your child about their mailbox.

Recommendations

Students who need recommendation letters or forms filled out by Mrs. R are strongly advised to give all information to Mrs. R two weeks in advanced of the due date. 

 

 

 

 

FUNDRAISING

The Eastern View High School Choral Department is proud of its rich tradition of excellence. We feel our students are the best and deserve the best. As a department, we are always looking for ways to encourage musical growth and to provide varied performance experiences for our students.

Our school district has many financial responsibilities. Unfortunately, there is never enough money to provide every organization with all they need. As a choir we must assume responsibility for some of our expenses. In a time when budgets are being trimmed, there is an increased awareness of the need for outside support for the choir to continue providing worthwhile choral activities.

 

Your fundraising efforts help support:

Choral music itself is founded upon the idea of working as a team, supporting the general cause and expressing oneself by giving to others. Your support at this time will have a positive effect on the quality of this program, the experiences we can provide and the rewards the students will reap from participation in such activities. Students will be able to complete their choir service hours while helping with fundraisers.

Choir Travel Policy

During the year, the choir participates in various off-campus choral performances, competitions, festivals and contests.  These trips are a lot of fun, but are also a responsibility that students need to think about when they register for choir.  Students are expected to participate in choir trips, and are also expected to represent Eastern View High School in a responsible and positive manner.   Here are the "rules of the road".  All students are expected to observe whenever we travel off-campus. 

ELIGIBILITY FOR TRIPS

 

The following are required for participation in the EVHS Choir Field Trips

 

The student MUST:

 

1.    Be a member in good standing

2.    Perform in every required concert and contest.(unless excused by teacher)

3.    Know all the concert literature from memory.

4.    Meet all financial obligations.- please see Mrs. R for help with this issue

5.    Be academically eligible.

 

Policy

-       You need to be on time for load-in or performance with needed music and outfits.  It is tradition for students who are late loading busses, leaving motels, etc., to be assigned to Mrs. R’s group until timeliness/memory is reinforced.   

-     Times and schedules are subject to change. ALWAYS listen for any time changes.  Be flexible and cooperative.

-  During performances you are expected to display appropriate audience behavior.

-    The rules governing behavior for Eastern View High School apply to all trips at all times.  What goes for EVHS goes for the road.  If a student is found non-compliant with school policy, parents and an administrator will be contacted and a decision will be made to send the student home with a chaperone or on commercial transportation at their parent’s expense. 

-All students are expected to take CCPS Provided Transportation while on a field trip.  Students who have written permission from a parent may have their parent meet the choir at a specific location. This is the only exception!!! NO OTHER EXCEPTIONS!!!

-Students may leave a field trip with a parent if Mrs. R has written consent from a parent and actually sees a parent taking the student from the event (ie. All District Choir)

-     Show respect for the facilities we use.   Motels, churches, gymnasiums, concert and recital halls need to be treated carefully so that we may return in years to come.  Keep your volume down and clean up after yourself.  You are financially responsible for any damage you cause to facilities the choir uses.

-     We are required to have one chaperone for each ten students in country and one to every six out of country when we are on a trip.  Parents should be aware that Mrs. R will ask for chaperone volunteers for various trips throughout the year.  The trips are a lot of fun; try to clear your schedule and participate if at all possible. Chaperones have a responsibility to monitor appropriate student behavior and safety during the trip.  Students are expected to treat chaperones with respect, obey chaperone instructions, and keep in touch with the chaperone to which you are assigned.  Chaperone duties will be given out before each field trip.

 

Parents need to agree to the following

*to pay all expected fees that apply to the trip-if child is attending

*to pay fees that may have not been met by fundraising- if child is attending

*to provide spending money for my child to eat lunch if needed- if child is attending

*to fill out all necessary medical forms and permission forms

*to follow all school rules as set by the Culpeper County School Board

*to follow the school dress code while watching my child pack for the trip(Bathing suits must be    appropriate.  Guys- shorts / Girls- One piece or tankini suits only that covers the entire midriff area/ and are not low cut showing inappropriate cleavage)

*in case of incident, any time your child does not follow the school rules or dress code, he/she will be sent home at the parent’s expense

*if a chaperone, to pay all fees for the trip

*to know that in case of an incident that threatens national security, the school board may cancel the trip and depending on the time frame,  55 or more days ahead of time of departure, a partial refund, not full, will be given

*Refunds will not be given once a trip has been taken. 

*I will support my child in preparing for this exciting trip

 

Students need to agree to the following:

*to keep a good attitude towards everything they do in chorus and drama

*to put their best effort in every event that takes place in chorus and drama

*to uphold all the rules of the EVHS Choral and Drama Department

*to listen and respect my teachers, chaperones, and others around me

*to uphold all school rules and policies as set by the Culpeper County school board

*to uphold the dress code set by the Culpeper County School Board while on the Spring Trip (Bathing suits must be appropriate.  Guys- shorts / Girls- One piece or tankini suits only that covers the entire midriff area/ and are not low cut showing inappropriate cleavage)

*to be responsible in everything pertaining to chorus including after school practices, concerts, plays and other choral activities

*to be responsible to my choir and drama members by learning my part (notes and rhythm/ lines) giving my choir/drama the best experience possible

*to know that in an event where a student is referred to the office by any teacher, that student may not participate in this trip

*Mrs. Richtarski has the right to remove anyone from the trip that shows inappropriate behavior in or out of choir/drama rehearsal.  She will consult with parents and administration before doing so.

*to follow all rules and regulations during all aspects of the trip

*to know that no one will be allowed in a hotel room of the opposite sex, if this rule is broken the student will be sent home at the parent’s expense, be referred to the EVHS administration , and be terminated from EVHS Choir/drama field trips until administration approval is given for a student to participate in future field trips

*no alcohol or tobacco (or illegal substances) products will be tolerated from anyone on the trip, if any school rules or regulations are violated, the students will be sent home at the parent’s expense, be referred to the EVHS administration, and be terminated from choir/drama field trips until administration approval is given for a student to participate in future field trips

*to have lots of fun and create memories that will last a life time

 

****It is required that every student have a choir travel and permission slip (one for every field trip) and medical form on file in the choir office.
